How to write a construction quote that gets accepted

A quote that closes carries a unique number, customer, site, lines with description + unit + quantity + price, visible discount and tax, validity and total. Four steps: calculate, fill customer and validity, check tax, share the PDF.
What goes in a quote that reads clearly?
Each line answers what, how much and at what rate: concrete description (Living-room emulsion, 2 coats), unit (sq ft), quantity (3,700) and unit price. Without those four, the customer cannot compare and approval stalls.
Head with unique number, customer and site. Close with subtotal, discount, taxable, tax and total in exact cents, plus validity and payment terms.
- Line: description + unit + quantity + unit price + subtotal.
- Totals: subtotal − discount = taxable; taxable × (1 + tax) = total.
- Validity: 15–30 days with an exact date (valid through Oct 15, 2026).
- Notes: schedule, payment terms and exclusions (permits, contingency).
How do you build it in 4 steps without retyping?
The flow avoids hand-copying figures: each calculator adds its line with quantity and price to the draft. The draft lives on your device until you sign up.
total = (Σ qty × price − discount) × (1 + tax)
What does a model example look like?
Three real lines for a 355 sq ft paint job: material and labor split, plus masking and travel. The customer sees what each part costs and can say yes without calling back.
Example: 355 sq ft room, 2 coats (round figures)
| Line | Quantity | Price |
|---|---|---|
| Interior emulsion 2 coats (material) | 355 sq ft | $0.55/sq ft → $195 |
| Paint labor | 355 sq ft | $1.10/sq ft → $390 |
| Masking and travel | 1 ea | $60 → $60 |
| Subtotal / tax / Total | $645 | tax on top → total |
What gets it accepted faster?
Short validity with a date, a clean A4 PDF with your terms, and a link with recorded acceptance. Each send freezes a version: duplicate and version on changes instead of editing over a sent quote.
The automatic reviewer flags zero-price, duplicate or low-margin lines before sending. A quote with an unchecked flag takes about twice as long to close.
Worked example: 355 sq ft room with the 3 table lines
- Subtotal: 195 + 390 + 60 = $645.00
- No discount, taxable $645.00
- Tax on top at your local rate
→ Total $645 + tax, valid through an exact date, with PDF and acceptance link.
Common mistakes
- Generic lines (Painting: $600) with no unit or quantity: the customer cannot tell what is inside and asks for a breakdown.
- Tax with no visible rate or applied before discount: a $10–20 mismatch costs trust.
- No validity: material prices expire and the customer claims a 3-month-old price.
From calculation to quote
Add labor, overhead and your margin, and generate the professional PDF.
FAQs
- How many validity days do I set?
- 15 days for paint and tile, 30 for remodels. Exact date always (valid through Oct 15, 2026). Without a date the customer treats the price as open.
- Does the PDF carry my terms?
- Yes: company, customer, site, lines, tax-inclusive totals, validity, payment terms and notes. It is the document the customer forwards to compare.
- Can I send it by messaging apps?
- Yes: share the PDF or the public link with validity. The link records acceptance with date, total and content hash.
- What when the customer asks for changes?
- Duplicate and version: each send freezes content. Never edit over a version already sent.
- How do I avoid below-margin quotes?
- Set a target margin in Settings. The reviewer flags anything below it in red before sending.
